Wavemaker UK is a media, planning and buying agency, registered in England under company number 4078547 whose registered office is 18 Upper Ground, London SE1 9ET. Wavemaker’s Every Voice is our online research community that provides us with consumer research operated by Wavemaker Limited (We, Us, Our,) as a data controller. 

STRAT7 Researchbods administer and operate the website Wavemakerseveryvoice.co.uk  (referred to as the “Site”) and Wavemakers Every Voice Community panel (referred to as “Panel”) on behalf of Wavemaker UK , Wavemaker UK will be the data controller for the purposes of this privacy notice. 

STRAT7 Researchbods, a division of STRAT7 Limited, registered in England under company number 07642707 whose registered office is at 11 Soho Street, London, W1D 3AD is an online data collection company that focuses on building and managing large online consumer panels and communities to provide high quality research data to its clients. 

This privacy notice covers the collection of personal information from users of the Site and members of the Panel ("you" and "your") and use of that information by Wavemaker UK and parties that we authorise, such as our suppliers and subcontractors. 

Your information is very important to us and we look after your information carefully in line with the latest data protection and privacy laws. We also want to be transparent about what information we collect about you, how we use it, and how you can control what we do with this information. We’ve set out below more detail on what information we collect about you and how we use that information. 

What information do we collect? 

To become a user of the Site you will need to register with us. As part of registration we ask you to provide your name, email address, postcode and your date of birth. We also ask questions about your ethnicity, household income, occupation, children, relationship status, finances, preferred transport and your lifestyle. We require this information at registration to be able to categorize users into groups for specific audiences and research tasks.  

Once you are a registered user you will be able to complete the research tasks (e.g. surveys, diaries, vox pops, polls and/or forum discussions). When you complete the research tasks, we will also collect the information you submit during this process.  This may include the collection of sensitive personal information such as your ethnicity and sexuality. This data is used solely to help us ensure that our research is representative of the UK population and to conduct research more effectively.  We will only capture this data if you provide it to us and consent to us using it for this restricted purpose. Providing personal information to us via the research tasks is voluntary, and you may withdraw your consent at any time by emailing us at Wavemakerseveryvoice@wmglobal.com. When and how do we collect information? 

We collect information about you through our Site: 

  • when you first complete the registration process to become a member; 
  • when you update your details via the Site or otherwise; 
  • when you voluntarily complete any of the research tasks (such as surveys, polls or forum discussions) we invite you to participate in;
  • you contact us or provide us with information through the Site or otherwise at any other point (for instance, when you contact us with an enquiry, request or feedback); 
  • in monitoring your use of the Site and engagement with the Panel, including without limitation communications sent by you via the Site. 

How long do we keep your information for? 

We will keep your personal information for only as long as necessary which in most cases will be 12 months.  We may need to keep some personal information about you for longer than our standard retention policy in certain situations: 

  • so that we can deal with any complaints you might make about the Site or the Panel or our services; 
  • if you ask us to stop sending you emails in connection with research tasks, the Site and the Panel, we need to retain enough information about you to enable us to ensure we stop including you in any communications; 
  • we may need to keep personal information so that we can defend possible future legal claims; 
  • we may have a legal or regulatory duty to retain particular personal information for a certain minimum period. 

How do we use your information? 

We will use your information in a variety of ways, to: 

  • verify your identity (eg. when you register as a member or return to the Site); 
  • administer and manage the Site; 
  • invite you to participate in and communicate with you about research tasks (such as surveys, polls and forum discussions) on the Site and other research activities that we feel may be relevant to you based on the information you provided to us; 
  • create anonymous, statistical profiles of membership based on the information provided by you and other members; 
  • collate and aggregate responses to research tasks by you and other members to present the anonymised results in research reports - these will not be used to identify any individual Panel member; 
  • use images uploaded to the site for our work with clients and internal reporting; 
  • send you communications about the Site and the members (including service messages to make you aware of new features or changes on the Site); 
  • monitor and develop the Site to improve your experience; 
  • conduct market research, which may include statistical, technical and logistical analysis; 
  • process and deal with any complaints or enquiries made by or about you. 
  • send you rewards when tasks are completed – this is facilitated by research bods

Do we share your information?  

Yes, your information will be shared with Researchbods. Researchbods will have access to all personal data hosted within the community and will process your data to administer incentive rewards. We only share this data with Researchbods to enable them to facilitate the site for us and they will only act on the data under instruction from Wavemaker. Your cookie data when you visit the Site is controlled by Researchbods, you can manage your preferences here. 

The Promoter and/or the prize provider may send personal data of entrants to third parties outside the European Economic Area for the purposes of administering the prize draw, and by entering, entrants agree to such transfer for these purposes. 

What are your rights?

Any personal information you supply will be treated in accordance with applicable data protection laws including the General Data Protection Regulation and any other applicable or superseding legislation.  We are committed to delivering the rights that individuals are entitled to under data protection laws in the UK. These include: 

  • the right to request a copy of the personal information we hold about you.  To do this, please contact us at Wavemakerseveryvoice@wmglobal.com making clear that you are requesting a copy of your personal information and include full details of what you require. You may also be required to submit proof of your identity; 
  • the right to object to your personal information being processed. We will comply with such a request unless there is a lawful reason for not doing so, such as when we need to continue to process your information to defend a legal claim or if this information is necessary for the ongoing provision of our services; 
  • the right to rectification. You may request that we correct any inaccurate and/or complete any incomplete personal information. If you need to update or correct any of your membership information, you can do this within the ‘Profile’ page; 
  • the right to withdraw consent. Where we are processing your personal information on the basis that you have given us your consent to do so, you may withdraw your consent at any time by contacting us at Wavemakerseveryvoice@wmglobal.com
  • the right of erasure. You may request that we erase your personal information and we will comply, unless there is a lawful reason for not doing so; 
  • the right to data portability. In certain circumstances, you may request that we provide your personal information to you in a structured, commonly used and machine readable format and have it transferred to another provider of the same or similar services to us. Where this right is applicable, we will comply with such transfer as far as it is technically feasible; 
  • the right to lodge a complaint with the supervisory authority. You can also complain to the ICO if you are unhappy with how we have used your data.
